Step-by-Step instructions for identifying spam or phishing messages. Reporting these messages helps protect this organization, prevent potential security breaches, and ensure suspicious senders are blocked or investigated.
What to Look For
What is Spam?
- Unwanted, unsolicited messages (e.g., advertisements, irrelevant promotions).
What is Phishing?
- Fraudulent attempts to obtain sensitive information (e.g., login credentials, financial details) by pretending to be a trusted source.
Warning Signs to look for:
- Unexpected email form an unknown sender
- Urgent or threatening language (“your account will be suspended”)
- Suspicions links or attachments
- Senders email address doesn’t match the organization or claimed company
Step-by-Step Instructions
1. DO NOT click links or open attachments
2. DO NOT reply to the sender
3. For Outlook (Desktop App):
- Select the suspicious message
- Select "Phish Alert Report" along the toolbar

4. For Outlook Web (OWA):
- Open the suspicious email (do not click links or attachments)
- Click the More actions "..." menu
- Select "Phish Alert Report", or select "Report as Junk"

Troubleshooting/Notes
- If the “Report” button is missing:
- Update your email client to the latest version
- Contact the IT team to ensure the reporting add-in is installed
- If you accidentally clicked a link or entered credentials:
- Immediately change your password
- Notify the IT Team as soon as possible
- Monitor your account for suspicious activity
- Phishing reports are confidential – your name will not be shared with the sender.
