Summary

The following is the Technology Departments recommendations to help minimize damage to Chromebooks and iPads that are in the charging carts in the classroom. These steps are not mandatory but more of a guideline to help maintain Chromebooks are properly cared for and accounted for.

Step-by-Step

  1. All technology carts should have a device list taped to the inside of the cart. If any changes occur during the school year (like a damaged Chromebook was replaced), put in a Work Order so the building tech can make the necessary adjustments.

  2. All students should be assigned a device number at the beginning of the year. The student should use the same device every day for the entire school year.

  3. All devices should be placed in the cart in numbered order. Devices should be numbered on the bottom side only using either a Sharpie or a sticker. If possible, use a sticker with the cart Asset tag and Slot number of the device.
    • Avery Labels #5160 come 30 to a sheet and work well for this.

  4. While on their devices, students should not have any food or drinks out. Students should be on educational sites only. Teachers should be monitoring student use.

  5. Before students return their devices to the cart, they should log out of all applications and log off of the device.

  6. Teachers should visually check for damage as the students place the device back in the cart.
    • Students can be held financially responsible for any damage.

  7. Students should place the device back in the correct slot for the device and plug it back in to the charging cable to ensure the device remains charged during the day.

  8. Before leaving for the day, the cart MUST be locked. All locks must be provided by the building and the combination should use the district standard.
    • No personal locks are allowed.

  9. Based on specific schools policies, students should not be using these devices when a sub is in the room. This is to eliminate missing/damaged devices.

  10. Report any inappropriate use/ damage/ theft of building technology by submitting a Work Order as soon as issue is noticed. Leave damaged device in classroom for the Technician.

Additional Information

See attached for the Device Listing spreadsheet and a template for labeling the devices located in the carts.

  • Blank Cart template.doc is a Word document that can be used to create Avery 5160 labels that can be placed on the back side of a Chromebook.
  • Classroom Technology Cart Form 2.xlsx is a spreadsheet that can be printed out and placed on the inside of the cart. It can be used to list the devices in the cart and the student who is assigned to that device.
